Define what the sample needs to prove

A sample can demonstrate appearance, fit, finish or function, but one sample may not answer every question. Specify the checks that matter for the intended use. An automotive component may require dimensional and fit confirmation; furniture may require assembly, finish and packaging review.

Coordinate product and packaging requirements

  • Confirm dimensions, material specifications, colors and permitted variations.
  • Coordinate logo placement, label artwork and packaging prototypes.
  • Record sample feedback and outstanding changes with the supplier.
  • Clarify sample charges, tooling arrangements and the next approval point.

Keep an approval record

Identify the sample version, drawing revision and written feedback used for approval. Agree whether the supplier must retain a reference sample, and define any checks needed during production. A visually acceptable sample does not replace required product testing or destination-market requirements.

When custom tooling is involved

Before paying for tooling, confirm ownership, maintenance, storage, modification charges and any conditions on moving it to another factory. Engineering design, laboratory testing and certification are separate requirements to confirm in the project proposal.
