Build the cost comparison before selecting a supplier

Use the same quantity, specification, packaging and delivery assumptions for every quotation. Identify the currency and quotation validity. Keep one-time development charges separate from recurring order costs so you can understand the cost of a repeat purchase.

Common cost categories to review

Cost areaQuestions to clarify
ProductWhich material, specification, quantity and packaging are included?
Samples & toolingAre samples, tooling changes, storage and sample shipping charged separately?
Service & inspectionWhat sourcing work, inspection scope and reinspection are included?
Origin logisticsWho pays pickup, storage, consolidation, repacking and export handling?
FreightWhat route, shipment basis and surcharges does the quote cover?
DestinationWhich clearance, tax, duty and final-delivery charges are excluded?

Compare fee models by the work included

A service provider may quote a separate service fee or include its commercial margin in a product quotation. A zero separately listed service fee does not mean the underlying work has no cost. Ask what services, responsibilities and exclusions are included, and compare the total proposal on a consistent basis.

Confirm the handover points

Delivery terms should identify the agreed place and allocation of obligations. Ask the supplier and freight provider to explain their quoted scope. Confirm destination charges and any specialist import requirements with the relevant provider rather than assuming a shipment quote covers every expense.

Keep estimates and confirmed costs separate

Freight, exchange rates and destination expenses can change. Record the assumptions and identify the point at which each charge becomes confirmed. Where duties or product classification are uncertain, obtain advice from a qualified customs provider for the actual shipment.
